When planning a party, there are a few basic things you can do to ensure the event is a success and your attendees enjoy the experience.

Create the Vibe

One of the best things you can do to make sure your party doesn’t become boring is to set the intention early with a clear purpose.

Why are you hosting the party in the first place?

Will this event be open to all friends and even friends of friends, or will it be strictly invite-only?

Will there be a theme to adhere to, as well as a specific start time or can people freely show up whenever they want? 

Why are these things important?

Well, if you’re planning on people showing up at a certain time but that information isn’t communicated properly then you could be sitting around (for what will seem like an eternity) until people slowly trickle in. 

Invite the Right People

Once you have the purpose of the party figured out then it’s important to invite the right people.

Obviously, if your event is open to the public or can accommodate a large audience then you can be more liberal with sending out invitations and marketing the party.

However, if space is a factor or it’s something that you would prefer to keep low-key then you’ll want to be more selective with the invitations. 

If the party has a specific theme or purpose, then inviting the right people could make or break the festivities.

While you might not want to exclude certain friends, it’s important to think about whether those people will add to the party and enjoy themselves.

By the same token, you certainly don’t want to invite people that will take away from the party in any way, or create an uncomfortable situation for your other guests. 

Good Food

Everybody loves to eat good food, especially at parties.

Depending on the party size, you could prepare appetizers yourself, encourage guests to bring a covered dish, or have the function professionally catered.

The latter is certainly a good idea because it frees up your time and will be one less thing for you to worry about. 

If the party is a smaller, more intimate gathering, then you might want to keep the food where they can congregate, because that’s what they’re going to do anyway.

For example, if you want people to hang out in the living room, then keep the snacks on the table.

If you want people to stay outside on the porch, then that’s where the food should be.

Know Your Space

This is important no matter what size party you are hosting.

You never want to have people crammed together in tight quarters because that won’t be enjoyable for anyone.

Likewise, you don’t want to have everything spread out so much that it gives the impression that no one is there. 

Entertainment

Depending on the event, you may want to consider booking entertainment to keep people engaged and having a good time.

This could be a band or DJ to provide musical entertainment, a magician or comedian if you have enough seating, or even specialty talent such as a belly dancer for a cultural event. 

Activities

Having activities planned could be beneficial if the event is smaller and you want people to engage with each other.

However, certain activities may require some level of flexibility on your part, especially if you are requiring participation.

If that’s the case, then people should be told upfront about the activities planned and what you expect.  

Make Your Rounds

While you can’t be everywhere at once, it’s important to be a good host.

Spend time making your rounds and talking with your guests. Give your guests a reasonable amount of facetime to express your gratitude for their attendance.

This will go a long way with making them feel special and ensuring that they are having a good time and will be more likely to attend future functions. 

Recruit Others to Help

It may be your party, but you can always ask for help.

This way you don’t have to feel overwhelmed with everything on the to-do list.

Depending on the size of your party, it might be a good idea to recruit a few trusted friends to help with some of the responsibilities, particularly the more mundane tasks so that you can give your attention to the more important details. 

Set Appropriate Expectations

Set appropriate and reasonable expectations with the party.

What do you want to achieve? Obviously you want your guests to have a good time but there’s more to it than that.

What should your attendees expect from you, and the party in general, if they attend?

Likewise, what do you expect from your guests for being there? 

Rules and Guidelines

This goes hand-in-hand with setting appropriate expectations. Set reasonable rules and guidelines for your guests to follow.

If you’re renting space at a public venue, then they likely have general establishment rules so you might only need to come up with a few basic guidelines.

However, if you’re hosting the party at your house or on your property then you may want to enforce ground rules to ensure everyone feels comfortable and can equally enjoy the atmosphere.
